Sustrans and Hedkayse competition terms and conditions

If you’d like to enter the Sustrans and Hedkayse design competition we recommend you read the following terms and conditions.

  1. Only one entry per person per category will be accepted. Multiple entries from the same person in the same category will be disqualified.
  2. There is no entry fee and no purchase is necessary to enter this competition.
  3. Entries will be accepted by emailing your entry to competition@sustrans.org.uk and completing the online Sustrans web form on www.sustrans.org.uk/helmet-design-competition.
  4. All entries must be received by 5pm on the 28 February 2022. Entries received after that date will not be included.
  5. Entry into the competition will be deemed as acceptance of these terms and conditions.
  6. There will be two winners, one for each category. The winners will be chosen by an external judging panel who will anonymously judge entries received against the two competition categories. One winner for each category will be notified by the 18 March 2022.
  7. The prize will be a Hedkayse helmet with the prize winner's design printed onto the helmet. The helmet will be posted to the winner free of charge. The two winning designs, one from each category, will then be available to purchase via the Sustrans and Hedkayse online shops.
  8. No cash alternative to the prize will be offered. The prize is not transferable. In the event of unforeseen circumstances, the Promoter reserves the right to offer an alternative prize of equal or greater value.
  9. The winner will be contacted by Sustrans via the email provided upon entering the competition. Please monitor your spam folder in case we have tried to reach you. 
  10. Prizes should be claimed by 31 March 2022. After this date the Promoter reserves the right to withdraw the prize and pick a replacement winner.
  11. The Promoter cannot accept responsibility for loss or corruption of data in transit.
  12. The Promoter is Sustrans, 2 Cathedral Square, College Green, Bristol BS1 5DD. The name of the winners can be obtained after 31 March 2022 by emailing competition@sustrans.org.uk.
  13. All information detailing how to enter this competition forms part of the terms and conditions. By entering this competition, you are agreeing to be bound by these terms and conditions.

How to enter

The closing date for entries is 5.00 pm (BST) on Monday 28 February 2022. Late, incomplete or corrupt entries will not be accepted.

Please send your designs to competition@sustrans.org.uk with the following information:

  • Your name, contact email address and telephone number.
  • Your name, age and a valid email address for your parent or legal guardian if you’re under 18.
  • The title of the category you are entering.
  • A few words telling us the story behind your design – including but not restricted to what inspired you.
  • The name you are happy to be made public if you are picked as a winner (e.g. you may want us to use your first name and second name, first initial and surname only, initials only, or “Anonymous”).

Entries will be shortlisted by representatives from Sustrans and the winners for each category determined by independent judges.

Terms and Conditions

Eligibility

  • The competition is open to residents of the United Kingdom except those judging the competition or anyone professionally connected with the competition.
  • Entries must have been designed by the individual to the National Cycle Network in the United Kingdom of Great Britain and Northern Ireland, Coast of Ireland, the Isle of Man or the Channel Islands.
  • All images entered must celebrate your experiences on the National Cycle Network and be no more than three years old.
  • The competition is open to all ages, however entrants under 18 must have their parent or legal guardian’s permission to enter. Entrants under 18 must supply their name, age and a valid email address for their parent or legal guardian.
  • Designs submitted must not have been published elsewhere (excluding social media) or have won a prize in any other major artwork competition, or be entered into a major competition where the results are still pending.

 

Entries

  • Entrants may submit one different design to each category, however they will only have the chance to be declared the winner of one category.
  • Entrants found to be using multiple email addresses to exceed the allowed number of submissions will be disqualified.
  • Designs submitted on behalf of another person will not be accepted.
  • The promoter is not responsible for entries that are sent via email and not received, and proof of transmission will not be accepted as proof of entry.
  • Sustrans may contact entrants to provide extra information or an extended description of their design.
  • Sustrans reserves the right to transfer an entry to a different category during the competition or judging if it feels it is more relevant.
  • If entrants fall below the required standard Sustrans reserve the right not to declare a winner and award prize.

 

Technical specifications

  • Designs must be sent by email in digital format to competition@sustrans.org.uk
  • Minimum file size is 1MB and the maximum file size is 25MB. Photos must be submitted as JPEG, PNG or PDF files.
  • Photos must be submitted with no watermarks, borders or excessive digital manipulation.
  • For digitally designed submissions, please send a PDF to competition@sustrans.org.uk.
  • For hand-drawn submissions, please send a JPEG, PDF or PNG file to competition@sustrans.org.uk.

 

Judging, notification and prizes

All valid entries made before the competition closing date will be judged as follows:

  • Shortlisted designs in each category will be chosen by representatives from Sustrans.
  • The shortlisted photos will be scored by a panel of independent judges on the basis of a) originality and creativity b) interpretation and clarity of the theme c) evidence of enthusiasm for the category d) is the design inclusive e) overall composition, and the entries in each category with the highest score will be designated as the winner.
  • Winners will be notified by email or telephone within 11 working days of the closing of the competition.
  • Winners must confirm acceptance of their prize within 14 days of being notified by Sustrans and must provide a UK postal address for their prize to be sent to.
  • If Sustrans does not receive confirmation of prize acceptance within 14 days it reserves the right to disqualify the entrant and select another prize-winner.
  • The prizes are as stated for each category and are not transferable. No cash alternative to the prizes will be offered. Prizes are subject to availability and Sustrans reserves the right to substitute any prize with a reasonable alternative without giving notice.
  • The Promoter’s decision in the respect of all matters to do with the competition will be final and no correspondence will be entered into.
  • The winners will be announced on the Sustrans website in March 2022.
  • The prizes are:

Bristol - and all it encompasses: A Hedkayse helmet worth up to £150 with the participants winning Bristol-themed design printed onto it.

The National Cycle Network: A Hedkayse helmet worth up to £150 with the participants winning Network-themed design printed onto it.

 

Rights and ownership

  • All designs submitted must be the work of the individual submitting them, and entrants must have the full copyright for any images they submit.
  • Entrants retain the copyright to images submitted.

It is the responsibility of each entrant to ensure that:

  • any designs submitted do not infringe on the copyright of any third parties, and to indemnify Sustrans against any claims made by third parties in the event of such an infringement.
  • they have not licensed or disposed of any rights in their designs that would conflict with uses to be made by Sustrans.
  • designs entered in the competition must not promote brands or businesses other than the Promoter’s.
  • Sustrans and any partners may use designs entered into the competition to promote the 2022 competition.
  • Sustrans may seek permission from entrants to use photographs and photograph descriptions entered in the competition for promotional purposes beyond the promotion of the 2022 competition. This discussion and negotiation will be independent from the competition and will not affect entrants’ chances of winning.
  • When displaying designs online or in print Sustrans will always credit the designer with their supplied name unless asked not to.
  • There is no plan envisaged by Sustrans, or any of its partners or sponsors, to create a general commercial library of the designs entered into this competition.

 

Publicity

  • Prize winners may be required to take part in publicity and their winning entry may be published on the Sustrans website, in Sustrans publications, social media channels as well as the wider media reporting on the competition.
  • The two winning designs will be printed onto a Hedkayse helmet and will be available to view and purchase in the Sustrans Shop and Hedkayse eCommerce store. A £50 donation will be made to Sustrans for every helmet purchased via these two online shops.

 

Data Protection and Privacy

  • The winners agree to the use of their supplied name and image in any publicity material in relation to the competition.
  • Personal information provided by entrants will be used for the purposes of administering the competition and their entry in accordance with our privacy policy.
  • Sustrans will share the winners’ supplied postal addresses with Hedkayse for the sole purpose of delivering the prizes.
  • Personal data supplied by entrants, other than winners, will be deleted no later than three years after the end of the competition. The personal data of shortlisted winners will be kept to enable the photos to be used to promote future competitions, and to give appropriate credit, and also for historical record-keeping where appropriate.

The Promoter reserves the right to cancel or amend the competition and these terms and conditions without notice due to any event outside of the promoter’s control. Any changes to the competition will be notified to entrants as soon as possible by the Promoter.
